If you're travelling from outside Australia to join us, visa preparation is an essential part of your journey to Coaching in the Round, and we want to make that part as clear as possible.
Visa requirements and processing times vary widely by country, so we encourage every international delegate to start early.
Do I Need a Visa?
Visa requirements depend on your nationality and country of residence. Confirm your requirements directly with the Australian Government before booking travel:
When to Apply
Australian Government visa processing typically takes around 3 months, but times vary by visa type, nationality, and individual circumstances, including requests for further information or appeals.
We recommend all international delegates apply at least 6 months before the conference, (by mid-December 2026), to allow a comfortable buffer.
Supporting Documents for Your Application
The Organising Team of the Coaching in the Round conference is unable to issue formal visa invitation letters. Instead, once you've registered, we provide three documents that many delegates use successfully to support a visa application:
Registration Confirmation
Confirms your registration and participation in the conference.
Payment Receipt
Your order confirmation from Eventbrite, downloaded directly from your own Eventbrite account.
Conference Information
Outlines the conference dates, venue, and program for your application.
How to Obtain Your Documents
- Complete your conference registration via Eventbrite (registration opens soon, details to follow)..
- Your registration confirmation will be issued upon request please complete the request form) once registration is complete.
Your payment receipt is available directly from your Eventbrite account under "Order History"; we don't hold or issue this information. - Submit all requested documents as part of your visa application.
If someone else purchased your ticket on your behalf (e.g. your institution or department), please ask them to forward the Eventbrite order confirmation to you, as it will not be visible in your own account.
Important Notes
- These documents confirm your registration and participation; they do not guarantee visaapproval. That decision rests solely with the relevant Australian visa authority.
- Some countries' visa processes may require a more formal letter of invitation. If this applies to you, check with your nearest Australian visa office or consulate about accepted alternative documentation.
- Accepted authors, speakers and research poster presenters: strict registration deadlines apply to secure your place in the program. We have intentionally begun the call for submissions from 1st August, with an application deadline of 19th October 2026, 8 months before the conference.
We have also set a "Confirmation" step that requires all accepted contributors to confirm their attendance once the visa process is complete!. - Contributors and delegates are responsible for arranging their own travel insurance. We're unable to reimburse travel or accommodation costs in the event of visa refusal or other cancellations.
Visa Refusal Refund Policy
We understand that a visa outcome is outside your control. If your visa application is declined, you may be eligible for a refund of your registration fee, subject to the conditions below.
Eligibility
- You applied for your visa by mid-December 2026 (6 months before the conference), in line with our recommended timing.
- You provide your official refusal notice from the Australian Government as proof.
- Your refund request must be submitted within 30 daysof the date on your refusal notice and before the conference start date.
What's Refunded
If "Eligible" a full refund of the registration fee, (less Eventbrite fees) will be approved.
Not Covered
- Visa applications submitted after the recommended application window, or not submitted at all
- Travel, accommodation, or other costs incurred outside of conference registration
Travel Insurance
Travel insurance policies do not usually cover visa refusal; it's excluded or available as an optional add-on. Before you buy a policy, check specifically whether it names visa refusal as a covered cancellation reason, rather than assuming your travel insurance will cover this. Some insurers also require that the policy be purchased before you apply for your visa for this cover to take effect.
